Who we are

Gathered Press provides The Gathered Year, a managed service for collecting messages, stories, photographs, audio, and video and preparing a printed gift with private digital companions. “Gathered Press,” “we,” and “us” refer to the team operating this service. You can reach us at support@getgatheredpress.com.

Information we collect

We collect information that people give us or create while using the service:

• project-start details, organizer account and project details, contribution deadlines, and private story direction;
• contributor and contact details, including names, email addresses, phone numbers when supplied, relationships, invitation status, and communication preferences;
• contributions and project material, including words, photographs, audio, video, transcripts, proof comments, and private reference files;
• order, shipping, tax, refund, and transaction records. Stripe collects payment details in its hosted checkout; Gathered Press does not receive raw card numbers; and
• limited technical and security information, such as IP address, browser details, request logs, session activity, and evidence needed to prevent abuse or investigate errors.

How we use information

We use information to:

• operate, personalize, print, mail, and support the gift;
• authenticate organizers, issue private contributor links, send requested invitations and reminders, and respond to questions;
• transcribe recordings, organize source material, suggest prompts and editorial structure, prepare proofs, and perform safety and quality checks;
• process orders, prevent fraud and abuse, secure the service, diagnose failures, and keep required business records; and
• comply with law and protect people, rights, and property.

We use contracted AI and transcription providers for bounded tasks such as prompts, transcription, organization, analysis, and draft preparation. People remain responsible for editorial decisions and release. We do not authorize those providers to use customer content to train their general models, and models may not publish, send, rewrite, or approve a contributor’s material.

When information is disclosed

The organizer and Gathered Press team can review what people send. The recipient sees only contributions included in the finished gift. Contributions are not published. Longer audio, video, or text may be available through an unlisted private link printed on a card.

We disclose information only as needed to:

• service providers that host data, deliver email, process payments, provide AI or transcription, print the gift, ship orders, or help protect and operate the service;
• authorities or other parties when reasonably necessary to comply with law, enforce our terms, or protect rights and safety; or
• a successor in a merger, financing, reorganization, or sale, with the same limits on the information.

We do not sell personal information. We do not share it for cross-context behavioral advertising, and we do not use targeted advertising on the service.

Retention and deletion

Project content is normally kept until 550 days after the project closes so organizers can review the finished work and we can support production. Project-start requests and managed contact records are normally kept for up to 24 months. Raw provider-event copies and ordinary application logs are normally kept for about 30 days. Payment, consent, security, and audit records may be kept longer when needed for law, disputes, fraud prevention, or to document a request.

We may delete information sooner when the person with authority over it makes a verified request. Backup copies and records we must retain may take longer to expire or may be preserved in restricted form.

Your privacy choices

You may ask to access, correct, delete, or receive a portable copy of personal information about you. You may also object to or restrict certain processing where applicable or appeal a decision on a privacy request. We offer these request options to people in the United States regardless of state, subject to identity, authority, security, and legal exceptions.

Email support@getgatheredpress.com with “Privacy request” in the subject. Tell us whether you are an organizer, contributor, recipient, or authorized agent and identify the project without sending sensitive content by email. We will verify the request through information or access methods already connected to the project. We do not discriminate against anyone for making a privacy request.

Cookies, browser signals, and security

We use only the cookies and browser storage needed for authentication, private links, drafts, security, and core service operation. We do not use advertising cookies. Because we do not sell personal information or share it for targeted advertising, Global Privacy Control and Do Not Track signals do not change those practices.

We use access controls, encryption in transit, private storage, limited provider access, and logging designed to protect information. No system can guarantee perfect security. Contact us promptly if you believe a private link or account has been exposed.

Adults, United States processing, and changes

Gathered Press is for adults age 18 or older. An adult who shares information, an image, or a recording about another person must have authority to do so. The service is operated in the United States, and information may be processed in U.S. locations where we and our providers operate.

We may update this policy as the service changes. We will post the revised effective date and provide additional notice or seek consent before a material change when required.
